Wedding Planning Tip: Wedding Invitations

In our never ending quest to help you plan your Florida beach wedding. We thought it would be useful to learn a thing or two about wedding invitations. Designing and ordering wedding invitations is something many people only do once in their life, so it's hard to find an "expert" on the matter. So we went out and found one for you!

I recently had the chance to interview Jessamyn Anderson of 365-Cards, an online greeting card company specializing in personalized Wedding Invitations and more. The transcript follows:

1) I know next to nothing about "wedding invitation etiquette". So give me the low down - who gets one, who doesn't, how, when, and why?
The good news about wedding invitation etiquette in today’s world, is that there are choices. Wedding invitation etiquette depends on the individuals. How each person decides to word their invitations is entirely up to them. They can follow traditional etiquette – (there is plenty of advice available on that) or they can break with tradition and do something different. Traditionally, all wedding guests get invitations. That way they'll have all the information they need in writing.

2) How far in advance should a couple order their wedding invitations?
Wedding invitations should be ordered as soon as the guest list is available – at least 4 to 5 months before the wedding. If your wedding is a destination celebration then you should give it more time.

3) Is the designing and ordering of the invitations mainly a "bride thing", or do you see a lot of grooms get involved as well?
Wedding invitations should come from the home of the bride. Choosing and ordering the design and wording really depends on the couple. I would say that more often than not invitations become the domain of the bride and her family but we have also seen couples that are both very involved in the choice of their wedding stationery.

4) How far in advance should a couple send their wedding invitations? What about save the dates?
While Save the Dates cards are not necessary for everyone, they are a great way to give your guests time to arrange to attend the special day. For family and friends who will be traveling to the wedding location, Save the Dates allow them to book flights, and find travel deals in good time. Send them six to twelve months before the wedding. The wedding invitation should be sent at least two months before the wedding.

5) Should they be mailed or hand delivered?
Invitations should be mailed. They are likely to cost more than the regular first class as they often have enclosures. You can also choose to have them "hand canceled" which means your invitations will be processed by hand and should bypass the automated processing machines, avoiding damage. By the way, it’s a free service!

6) What types of materials are invitations available in?
Invitation stock varies depending on the type of printing chosen. We at 365-Cards use 100lb matte card stock.

7) I would imagine there are literally endless combinations of colors, fonts, stationery, fabrics, envelopes, stamps...it makes me dizzy just thinking about it! How do you help couples cut through the fog of indecision and actually get started on a design?
Couples very often have a theme or color palette in mind when they start the process of looking for designs for their wedding stationery. Working with a professional wedding invitation designer will help them clarify their ideas and set the tone by suggesting colors, fonts and printing methods. There are also companies that will design stamps to match the invitation design.

8) The invitation is traditionally from the bride's parents, right? Is this still the case or are couples taking a more modern approach these days?
Tradition says that the bride's parents pay for everything, so traditional wedding invitations always read that the parent of the bride requested the honor of your presence at the marriage of their daughter. Now, divorce, blended families, and non-traditional families have altered the way weddings are paid for, so the traditional wording has become much more flexible. Modern couples may choose to add opening sentiments such as "With Joy in Their Hearts," or may choose to change the traditional "request the honor of your presence at the marriage" to something like "invite you to be a special part of the wedding of ….."

9) Who is responsible for paying for the invitations?
This depends on how traditional or modern you are. In the days when a bride came with a dowry, the bride's family paid for wedding invitations. Today, traditions are changing and modern payment arrangements are becoming common for weddings. Today, both sets of parents often help with wedding costs. The important part is to decide who is paying for what. Because of the independence couples share in today's society, they will often pay for the invitations themselves.

10) What is the price range of invitations?
Wedding invitation can range from $1.50 each with do-it-yourself kits to $3 or $4 each for mid-range standardized invitations on mid-weight card stock to $9 or more each for invitations that use a high-end printing process -- such as engraving or letterpress, on quality handmade or silk paper.
The per-invitation cost goes up with extra folds -- tri-fold costs more than bi-fold -- or lining on the invitations or envelopes.

The average couple spends $659 on invitations and reply-cards, according to The Bridal Association of America. Other additions such as Save the Dates or Thank you cards will increase the cost.

Lisa & Matt's Treasure Island Beach Wedding

Lisa and Matt are from Missouri and have been engaged for two years. Apparently Lisa thought that was long enough, because she contacted us last Tuesday and wanted to know if we had availability...for Thursday!

It turns out we did have availability, and Lisa and Matt had a beautiful Florida beach wedding for two on Treasure Island's Sunset Beach. They chose our Simple Wedding Package with a sand unity ceremony and champagne toast.

Their beach wedding ceremony was officiated by Trent, and Jodi provided their wedding photography. Below are a few of our favorite pictures from their Sunset Beach Wedding.

Mark and Lorrie's Sand Key Beach Wedding

Mark and Lorrie are from Canada. So when they chose an early Spring date for their wedding, they decided to head south for some warmer weather! They were originally planning on having their wedding on Indian Rocks Beach. But after they arrived in Florida, there was a problem with their reception venue and they called and asked us if it was possible to change their venue to Sand Key Park near Clearwater Beach.

There is a permit requirement for Sand Key, and normally you're supposed to apply 60 days in advance. We had eight! So, though it was seemingly impossible to get them a permit on such short notice, we told them we'd try and pull some strings and would see what we could do.

We called our friends at Pinellas County Parks and Recreation, who manage Sand Key Park. The staff was very gracious, and after much sweet-talking and groveling, they told us that they would approve the permit. However...they also cautioned us that this would be the seventh wedding permitted for Sand Key Park that day!

Mark and Lorrie were undeterred, and even offered to arrive early on their wedding day to pick out a spot on Sand Key and guard it with their lives!

It was all worth it in the end. Mark and Lorrie's wedding was absolutely stunning. It was a perfect Spring day on Sand Key, and Mark and Lorrie used our bamboo wedding arch and white chairs. They also incorporated readings by both Mark and Lorrie's sisters. Afterwards, Mark had this to say via e-mail:

"All I can say is that you guys know how to perform a wedding! Everything was absolutely perfect!!! Once again I want to thank you and your crew for making our wedding fantastic and better than we could have ever imagined!"

Mark and Lorrie opted for our sound system with a microphone for their ceremony and recorded music. And the wedding music they chose was just awesome! Their prelude included Bob Marley, the Beatles, and Jack Johnson, and the processional was For Once in My Life by Stevie Wonder. They chose another Stevie Wonder hit - Signed, Sealed, Delivered - for the recessional. It really added a personal touch to the wedding and made it a lot of fun!

After the ceremony, Mark and Lorrie took advantage of the beautiful weather and the perfect sunset to take their wedding pictures on the beach with Claudette. Below are a few of our favorites.

Wedding Planning Tip: Getting a Florida Marriage License

florida marriage licenseGetting a Florida Marriage License is one of those pesky little details that is boring, but very necessary, when planning your Florida wedding. Any couple who wishes to wed in the State of Florida must obtain and present a valid Florida Marriage License to their wedding officiant. Marriage licenses issued in other states are not valid in Florida.

A Florida Marriage License can be obtained from any county courthouse in the State of Florida, and the process is usually handled by the respective county’s Clerk of Court. Once issued, the license is valid for 60 days and can be used anywhere in the State. The fee for a Florida Marriage License is $93.50 as of this writing.

If either the bride or groom is a Florida resident, there is a three-day waiting period before the Florida Marriage License becomes valid (the license will be issued when you apply, but will have an effective date three days in the future), unless you have completed a State-approved marriage preparation course. Completion of this course also gets you a discount on the Florida Marriage License in most cases. There are lots of vendors out there offering this service – if you use one, make sure they are approved by the County in which you intend to apply.

If neither party is a Florida resident, your Florida Marriage License will be valid the day it is issued and you can get it as late as the same day as your wedding. But it's always a good idea to allow some extra time and get it a few days earlier if possible.

If either party has been divorced or widowed, or changed their name, it is a good idea to bring legal proof of this (i.e., a divorce decree, court order, or death certificate) with you when you apply for your Florida Marriage License. At a minimum, you will need the exact date your previous marriage ended. We recommend you call the Courthouse ahead of time to confirm their requirements, especially for unusual cases (be sure to keep a record of who you spoke to and when).

Generally, both parties must be physically present (Monday through Friday, 8am-5pm) and present valid identification at the time of application, and this is by far the easiest way to obtain your Florida Marriage License. Your best bet is to plan your trip so that you have time to stop by a County Courthouse a few days before your wedding ceremony.

However, this is not always possible (for example if you are arriving on a Friday evening and want to get married over the weekend). Services like Florida Marriage License Express can process a Florida Marriage License in advance of your arrival (for non-Florida residents only).

Once you have a valid Florida Marriage License, you must present it to your wedding officiant prior to your wedding ceremony. They will sign and notarize the license after your ceremony, may have witnesses sign it (this is optional in some counties), and must keep the original and file it with the county court in which it was issued. You will receive a certified copy from the court after it has been recorded, and can request additional copies from the Clerk of Court for a small fee at any time in the future.

And that's it. It's actually a pretty painless process, but it is an important element of planning your Florida wedding!

Cynthia and Nathan's Waterfront Wedding in Downtown St. Petersburg

vinoy wedding picturesCynthia and Nathan contacted us several months ago. They were planning to stay at the Vinoy Resort in St. Petersburg for their March wedding, and were interested in having their wedding in one of St Pete's beautiful downtown waterfront parks near the Vinoy.

So we met them at the Vinoy last fall and wandered around downtown St Petersburg with them showing off our beautiful city. They eventually decided on North Straub Park right across from the Vinoy. But alas, that was not to be...the City denied the permit application due to some other events that were taking place.

When we sent Cynthia pictures of Flora Wylie Park in St Petersburg's Old Northeast, it was settled. Flora Wylie park is adjacent to North Shore Park near downtown St. Petersburg, right on the water overlooking Tampa Bay. In short...it's perfect!

Cynthia chose to have her chairs set up in a semi-circle under two oak trees near the water. Claire took pictures of her getting ready at the Vinoy while her guests headed to the park. After her guests were seated, she arrived in a limo and made the long walk across the park by herself as our favorite violinist, Laurie Vodnoy-Wright, played the wedding march.

Once she arrived at the altar, Jeff started the wedding ceremony as planned. But after about a minute, just before Jeff got to the exchange of vows, Cynthia made a "stop" signal with her hand and said..."Excuse me...I'm sorry. Can I stop you for just a second?" [At this point, you could have heard a pin drop. The guests sat up and were holding their breath, Jeff was worried that he had forgotten some important detail of the ceremony, and poor Nate (as he shared with us later) was worried that Cynthia was about to pull a "runaway bride"!].

wedding shoesBut Cynthia continued, "I just have to take off my shoes"! So Cynthia slipped off those uncomfortable high heels and the wedding ceremony proceeded as planned!

Afterwards, Claire had Cynthia and Nathan climbing trees, laying in the grass, and just generally having a blast taking their wedding pictures in the park. Their reception followed at Ceviche', St. Pete's best tapas restaurant.

Teri and Aaron's Sunset Beach Wedding


Teri and Aaron met 20 years ago this Spring. March 20th to be exact. So in keeping with the "20" theme, and in deference to their anniversary, they chose March 20th as their wedding date.

They were married on a truly stunning Spring day on Treasure Island's aptly named Sunset Beach under our bamboo arch, with Teri's mother and stepfather and Aaron's grandparents in attendance. Margo performed their wedding ceremony, and afterwards they took advantage of the beautiful weather and the stunning Florida sunset to get some beautiful wedding portraits with Jason. Wedding Planning Tip: Finding the Perfect Beach Wedding Dress

Tying the knot on the beach? Have you found the perfect dress yet? Before you start shopping, read this list of things to consider before you start trying on every dress in sight or designing a custom dress like no other.

Temperature
The natural assumption of a beach wedding is that it will be warm. But, not all beaches boast a temperature of 90 degrees year round! When you’ve picked the perfect setting for your beach wedding, do some research to determine the weather for your beach wedding and the likely temperature where and when you’ll be tying the knot. For warmer weather, try dresses made of chiffon, organza, tulle, and silk. For cooler weather go for satin, taffeta, or brocade.

Comfort and Mobility
No matter the temperature, chances are you’ll be in the sun and walking through sand during your ceremony. If you like the feel of the sun on your back and know you won’t get burnt in the time you’ll be spending outside, go for a strapless or spaghetti strap neckline. If you burn easily, pick a neckline that will cover you up. If you’re not a pro at trekking across the sand (read: you’re a bit of a klutz!), pick a silhouette that won’t restrict your legs. If you're saying your “I Dos” at a warm time of day, pick a light, breathable fabric that won’t make you sweat.

Travel Plans
Unless you live near the ceremony location, you’ll need a means of transportation for your dress – carry on, packed in your luggage, shipped to your destination - whatever works for you. Be sure you know where your dress is at all times (next to you or being tracked via UPS online) and that you’ve given yourself enough time to account for any delays that might occur. Also consider post-arrival needs like steaming. Will you need to get this done professionally, can you do it yourself, or will your dress even accumulate wrinkles on the trip in the first place?

Do you want a long train that brushes the sand as you walk or do you want to keep your hem off the ground and out of the sand? Do you want a flowing, ethereal look or something form-fitting and sexy? All of these things affect the overall shape and fabric options for you to consider. An empire or goddess cut dress with layers of chiffon will give you that angelic look, while a sheath silhouette in silk charmeuse will give you something more sleek and sultry.

Personal Taste and Style
These, of course, are the most important things to consider while browsing! No matter what you read or what others tell you, what you like best and feel comfortable in is what matters most. Give yourself time to try on lots of dresses, discover things you love (and things you definitely don’t love), and determine what works best for you. Then, make the purchase or start designing the dress of your dreams to have it custom made!

Andi & Alan's Bamboo Beach Wedding

Andi contacted us from Atlanta, Georgia several month's ago. She had already booked her wedding date with another officiant and photographer, but she desperately wanted bamboo decor for her wedding. She initially spoke to Claire, who explained that we are not a rental company and we don't normally rent our our decor for weddings that are being done by other vendors. Andi must have been persistent, because after a few minutes, Claire said something like, "Let me let you speak to my husband"!

It turns out, not only was Andi persistent - she was a sweetheart, and we just couldn't tell her no! So, we provided Andi and Alan's bamboo arch, bamboo chairs, and microphone. The setup was gorgeous!

We also hooked them up with our friends Kim at Seaside Florals on St Pete Beach for their flowers, and Kathy and Louie at the Black Palm Restaurant on Pass-a-Grille for their reception.

Wedding Planning Tip: Florida Weather

Spring is in the air here in Florida. So as the thermometer hit 80 and we turned on the air conditioner for the first time today, we thought this would be a good time to reflect on the weather and how it effects planning for a beach wedding in Florida.

For those of you short on time, here's a quick rundown of Florida's Weather:

  • January - Chilly (lows in the 40s, highs in the 50s and 60s). Occasional rainy days as cold fronts push through.
  • February - Still chilly, similar to January, warming slightly by the end of the month (if we're lucky).
  • March - Can still be slightly chilly near the beginning of the month, but generally one of our best months for weather. Lows in the 50s and 60s, highs in the 70s and 80s are typical.
  • April - Almost perfect! 80 degrees and sunny more often than not!
  • May - Very nice, getting very warm, with highs approaching 90 towards the end of the month.
  • June - Very warm. Highs in the 90s not uncommon. Occasional afternoon thunderstorms.
  • July - Hot and humid. Highs in the 90s common. More frequent afternoon thunderstorms.
  • August - Sauna-like! Very hot and humid. Afternoon thunderstorms common. This is when most Floridians take their vacation. On the plus side, it's one of the slowest months for weddings, so there can be lots of availability (if you can find a vendor who is not on vacation!)
  • September - Still very warm, with cooler temperatures (highs in the 80s) towards the end of the month. Less frequent afternoon thunderstorms, but (statistically) it's the busiest month for hurricanes.
  • October - Another of our best months for weather. Highs in the 70s and 80s. Still a slight chance of hurricane activity.
  • November - Cooler temperatures (highs in the 70s), with more frequent "cold" fronts pushing through and causing occasional rain. Decreased chance of hurricane activity.
  • December - Generally cooler, with highs in the 60s, occasional colder weather and chilly nights. Getting colder towards the end of the month.
  • Notes: Obviously, these are just personal observations about the weather here in the Tampa Bay area. Our weather can vary at any time of year, and no guarantee of nice weather is implied herein! In general, you can subtract about 10 degrees for northern Florida and add about 10 degrees for southern Florida.
So there you have it. Spring and fall are our nicest (and busiest) times of year for beach weddings. But this is all relative, folks. If you're shoveling snow in December in the midwest, a 55 degree evening on the beach doesn't sound too bad! And the fact is, Florida actually has very good weather year-round by most peoples' standards.

In fact, our lovely home City of St Petersburg holds the Guiness world record for the most consecutive days of sunshine - a 768 day streak starting in 1967! Our average annual temperature is 73 degrees. Not too shabby!

All that being said, what it boils down to is on average, some times of year are better than others. But just like anywhere else, it's possible to have bad weather on any day of the year. So, you need to have a backup plan if you're planning a florida beach wedding.

We always discuss this with our clients and work with them to come up with a "Plan B" that suits their style and budget. A couple of our favorite options here locally are the Sunset Beach Pavilion on Treasure Island and the Don Vista Cultural Center on St Pete Beach, both of which can be reserved (directly, or through us) for a relatively small fee. Trust us, the peace of mind is worth every penny! Another possibility is to buy "Rain Out" insurance - for a small fee, you can purchase a policy that pays a set amount if the rainfall total exceeds a certain amount on your wedding day. Finally, we cannot just end this post without explaining the "H Word" - Hurricanes! We get a lot of questions about this, expecially during the summer. Here's the deal: Technically, the Atlantic Hurricane Season runs from June 1st to November 30th. But in reality, the busiest months for hurricanes in Florida are mid-August through mid-October.

California has earthquakes, the midwest has tonadoes, and the northeast has blizzards. Every area has it's weather hazards. A least we can see hurricanes coming from a long way, and a hurricane is not going to just "pop up" and spoil your wedding day like a tornado or earthquake would!

The last time a hurricane made direct landfall in the Tampa Bay area was in 1921! The chances of a hurricane making landfall on your wedding day are extremely small, and even if one did, we would know days in advance and work with you to plan around it. So...think sunshine, and find something else (that's more likely to actually happen) to worry about!

Alice and Lance's Wedding at the Snell Isle Gazebo

st petersburg fl wedding venueAlice contacted us several months ago. She had read our blog post about the Snell Isle Gazebo being St. Petersburg's Best Kept Secret Wedding Venue, and she was hooked!

Alice and Lance were married on a stunning Spring morning in St Petersburg. As we stood under the historic gazebo waiting for the bride to arrive, Lance joked, "I can't believe I let her rush me into this" (he then explained that they had been together for seven years and had two beautiful children!).

They had live violin music provided by our awesome violinist Laurie Vodnoy-Wright, who played the Beatles' And I Love Her as their daughter walked out as the flower girl. They opted for more traditional music when Alice's father walked her down the aisle, and the ceremony was a real tear-jerker (so we were told!).

Afterwards, Alice and Lance took advantage of the gorgeous Florida Spring weather to take their wedding pictures with Claire all over the beautifully landscaped Snell Isle Gazebo and Statuary. We even got the lawn man to turn the fountain on for their wedding pictures! It couldn't have been more perfect!

Daniel and Dawn's Sunset Beach Wedding

Daniel contacted Claire several month's ago from overseas. He was planning a beach wedding for his bride when he returned to the U.S. He was originally planning on a December wedding, but his return was pushed back and he ended up having to reschedule for late February.

Once we knew he was back in the States, we e-mailed him just to touch base and go over the final details, but we didn't hear back for several days, which was unusual. When he finally did reply, he said, "Sorry I took so long to get back to you. Have a good reason for that. Long story short, with everything we've talked about. There was one little thing that I hadn't done yet. And that was to actually ask Dawn to marry me! So I have and she said yes. So I don't have to goto my Plan B!".

We have no idea what "Plan B" was, but we're glad Dawn said yes with only two days' notice! Afterwards, Dawn said it was the best wedding she could have ever dreamed of - she didn't have to plan a thing!

Daniel and Dawn were married on Treasure Island's beautiful Sunset Beach, on a breezy and slightly chilly evening. But the sun finally came out just before sunset, and they got some great wedding pictures - with Daniel in traditional Irish (not Scottish) kilt! Below are a few of our favorites.

Wedding Planning Tip: Songs for a Wedding

florida beach wedding music-guitarFew things say more about a person than their musical preferences. The music you choose for your wedding really sets the tone for the event. From casual calypso steel drums or guitar on the beach, to classical string quartets in a more formal setting, music (whether live or recorded) is an important complement to your wedding ceremony and reception. 


But choosing the music for your wedding can be overwhelming - after all, there is a lot of music out there! This post will discuss how and where music fits into beach weddings, and will also share a great internet resource we've found for choosing the right music for your wedding.


Music and Beach Weddings

Clients often ask us whether they should add music to their beach wedding package. We love it when our clients include music, and we feel music adds an extra dimension and a special touch to our beach weddings. We work with some great local musicians - whether you want a violinist, guitarist, bagpiper, harpist, steel drums, or all of the above, we've got you covered! We also have the right equipment to provide recorded music for your Florida beach wedding ceremony.

Using the right equipment is an important point. You simply cannot hear an acoustic guitar over the wind and waves on the beach, nor can you hear a typical iPod speaker system, CD player, or boombox. We've seen this happen on more than one occasion, and it's such a shame when no one can hear the music and/or musician that was so carefully chosen by the bride and groom for their beach wedding.

But don't take our word for it - Libbie Bailey was married in November 2009 on Siesta Key, Florida, and offered to share this tip with our readers to help future brides avoid her mistake:

"We had a big boombox for the wedding. You couldn't hear it at all. You don't really think of the beach being loud until you're trying to hear something else. It was a bummer because I had music that my late father was singing that was supposed to be playing as I walked down the aisle. Everyone was asking me later if there was supposed to be music, since they heard nothing. I was totally bummed about it and definitely would've paid a little extra for the sound system had I known. My wedding planner [editor's note: it wasn't us!] didn't even suggest it and I wish she had!"


So if you decide to have music for your beach or outdoor wedding, make sure you use the right instrument and/or equipment. Violin, bagpipes, or steel drums are generally loud enough by themselves, but acoustic guitars in particular require amplification in order to be heard on the beach from more that a few feet away. An "acoustic-electric" setup with a portable amplifier is your best bet if you're planning on a guitarist. Keep in mind electrical power is not available in the beach.

For most beach weddings, your musician (or playlist for recorded music) will need to cover about 30-45 minutes:
  • 15 minutes or so while your guests are being seated (the prelude). A popular traditional piece here is Canon in D by Johann Pachelbel
  • The processional for the bridal party (if applicable) and bride. The traditional "Here Comes the Bride" piece often played here is Wagner's Bridal Chorus from Lohengrin (1850)
  • Background music for the ceremony (if desired)
  • A recessional at the end of the ceremony. The traditional piece here is Mendelssohn's Wedding March from A Midsummer Night's Dream (1826)
  • A few minutes at the end to wrap things up (the postlude)
While we have mentioned some of the more traditional wedding music, many of our clients simply aren't the "traditional" type. After all, they are having an intimate wedding on the beach in Florida, not a huge formal affair! We have seen (or rather, heard) clients play everything from Martina McBride to Israel Kamakawiwo'ole to Jay Sean and Lil Wayne!

But it can be incredibly hard to decide what to play at your wedding, and when to play it. That's where Songs for a Wedding comes in! Songs for Wedding is a wedding planning website that helps you choose (you guessed it!) songs for a wedding!

The site lists a collection of potential wedding songs broken down by each element of the Ceremony (prelude, processional, recessional, etc.) and Reception (bouquet toss, cake cutting, first dance, etc.), as well as by Genre (classical, country, R&B, etc.). In addition, the site contains a link to a recording of each song, and displays the lyrics as you listen to the song. In short, its the best resource we've found for helping you plan your wedding music. And hey, we're all about making it easy and stress free!
